WhatsApp is not a sales process

WhatsApp can be the front door. The process begins when every conversation is recorded, assigned, and connected to a next action.

The channel does not replace the process

A busy inbox proves that interest exists, but it does not show which opportunity needs a reply, who owns it, or when to follow up. Without those rules, the team works from memory and urgency.

The minimum viable flow

A simple system can begin with four states and grow later.

  • New contact recorded.
  • Owner assigned.
  • Need and stage identified.
  • Next action dated.

What each conversation should record

A useful record is not a complete copy of the chat. Keep what another person needs to understand the customer and the next step: source, name or identifier, need, stage, owner, last interaction, and next action. Avoid collecting sensitive information that is unnecessary for selling or service.

  • One opportunity per record.
  • One stage with a shared definition.
  • One concrete, dated next action.
  • One documented reason when the opportunity closes or is lost.

Set response and escalation rules

A process needs rules that keep a conversation from becoming invisible. Define when the first response should happen, how long an opportunity can sit without follow-up, and who handles an exception. Match the rule to the business's real operating hours; promising instant availability without the capacity to deliver makes the experience worse.

  • Separate an initial response from complete resolution.
  • Trigger reminders before the next step becomes overdue.
  • Reassign work when the owner will be unavailable.
  • Review stalled opportunities every week.

Technology comes later

An organized spreadsheet may be enough at first. A CRM or integration becomes justified when volume, collaboration, or reporting makes the current method fragile.

Measure the process, not the message count

Chat volume alone does not show whether the channel sells. Track new contacts, time to first response, qualified opportunities, overdue follow-ups, and attributable wins. When a metric falls, inspect a sample of conversations and identify the exact point of leakage before buying another tool.

Turn the idea into a process your team can execute.
