Sales channels
Why leads disappear between Instagram, WhatsApp, and spreadsheets
More channels can create more opportunities—and more places to forget a conversation.

The handoff is the problem
Copying a name into a spreadsheet does not preserve the need, stage, or promise. When context stays in another inbox, follow-up quality drops.
A shared minimum record
Every opportunity needs its source, contact, need, owner, stage, and dated next action. The channel can change; this record should not.
- Source and entry date.
- Need expressed by the prospect.
- Current owner.
- Stage and dated next action.
- Link or reference to the original conversation.
Define the handoff moment
Decide when a conversation becomes an opportunity and who records it. The trigger might be a pricing request, a confirmed need, or an accepted call. Without a visible rule, each person logs at a different moment and reports stop being comparable.
Avoid two sources of truth
The chat preserves the conversation; the commercial system preserves status and the next step. If two spreadsheets or platforms hold the same status, name the authoritative one and synchronize only what is needed. Ownerless manual copies eventually contradict each other.
- One primary system for stage and ownership.
- Consistent identifiers to prevent duplicates.
- Permissions matched to each person's work.
- Tested export and recovery.
Measure the leakage
Compare contacts received, first responses, qualified opportunities, and overdue next actions. The difference shows where to investigate before adding another tool.
- Share of contacts successfully recorded.
- Time from entry to assignment.
- Opportunities without a next action.
- Duplicates and records with no source.
A 20-minute weekly review
Bring together the people who manage the channels and inspect a sample of stalled opportunities. Correct the record, identify the missing rule, and assign the next action. The goal is not to monitor individual conversations but to find patterns the process can prevent.
